The Gaughan Companies Association Property Management staff has extensive knowledge and experience working directly with the Board of Directors on Association bylaws, financials, rules and regulations, operational procedures, maintenance, capital projects and Minnesota Common Interest Ownership Act (MCIOA). It is our job to protect, maintain and enhance the value of the Association, while assisting the Board Members to fulfill their fiduciary obligations and responsibilities. Key #1 - Financial Services:
- Readily available dedicated accounting staff
- Preparation of proposed annual budget
- Accounts receivable and accounts payable processing
- Timely mailing of assessment billing and collections
- Collection processing of delinquent accounts
- Monthly financial reports with variance analysis
- Monthly bank reconciliation
- Preparation of annual accounting packet provided to the CPA for the tax return
- Each Board Member will receive a complete accounting packet containing a cover sheet, balance sheet, fiscal year income statement or cash flow, budget comparison, copy of bank statement, bank reconciliation, age receivable listing, copies of owner correspondence, copies of collection advisory or demand for payment letters, check register, reserve expenditures schedule, general ledger for the month
Key #2 – Management Services:
- Professional proactive manager who works as a liaison between the Board Members and homeowners
- Advise and support the Board of Directors to act on matters in accordance with the legal documents governing the Association
- Board meeting preparation, attendance and follow up correspondence
- Preparation of a comprehensive directors/management report
- All on-going administrative community support
- Member correspondence and communications
- Coordination and administration of annual meeting and election process
- Member listing/voting list
- Documentation and tracking of accounting information, maintenance requests and violations
- New homeowner orientation and welcome packet
- Process inquiries from Board Members, homeowners and vendors
- Review Association’s monthly financials and expenditures to assist the Board in operating within the annual budget.
- Review Association’s invoices and approve accordingly
- Processing of service requests
- Assist the Board to ensure that homeowners are in compliance with the rules and regulations
- Hire, train and supervise onsite staff if applicable
Key #3 - Maintenance Services:
- Professional, experience and courteous maintenance staff
- After hours emergency call availability 24 hours a day 7 days a week
- Documented property site inspections
- Evaluation of contractors and contract services
- Act as liaison between Board Members and Vendors
- Bid procurement and Vendor proposals
- Coordination of preventative maintenance plans
- Preparation and evaluation of the 10-year capital plan
